TERMS & CONDITIONS

At The Grazing Italians, we prepare our food fresh and carefully plan our ingredients, staffing and preparation around confirmed orders and events.

These Terms & Conditions are designed to make the booking process clear for everyone and allow us to provide a reliable service to every customer.

By placing an order or making payment to The Grazing Italians, you acknowledge and agree to the following Terms & Conditions.

1. BOOKINGS & CONFIRMATION

All bookings are subject to availability.

A booking is not confirmed until the required deposit or full payment has been received by the due date shown on your invoice.

An enquiry, quote or invoice does not reserve your date until the required payment has been received.

If payment is not received by the due date, The Grazing Italians reserves the right to release the booking or date to another customer.

2. PAYMENTS & DEPOSITS

For bookings made four weeks or more before the collection, delivery or event date, an invoice will be issued confirming the required payment.

Orders of $250 or more

A 50% deposit is required within 24 hours of receiving your invoice to confirm your booking.

The remaining 50% balance must be paid no later than 14 days before your collection, delivery or event date.

Orders under $250

Full payment is required by the due date stated on your invoice.

Bookings made within 14 days of the required date may require full payment at the time of booking.

3. DEPOSITS & DATE CHANGES

Once your booking has been confirmed, your deposit is non-refundable.

We understand that plans can sometimes change. Where more than 7 days' notice is provided, we may allow your booking to be transferred to another available date within six months of the original booking date.

A $150 date change fee applies to transferred bookings.

Any date change is subject to availability and current pricing. If menu prices, delivery charges, staffing costs or other booking costs have increased, the difference will be payable by the customer.

A booking may only be transferred once unless otherwise agreed by The Grazing Italians.

Bookings cannot be transferred to another date within 7 days of the scheduled collection, delivery or event date.

4. CANCELLATIONS

Because our products are prepared using fresh and perishable ingredients, cancellations have a direct impact on food purchasing, preparation, staffing and other bookings we may have declined for your date.

The following cancellation terms apply:

More than 14 days before your booking: Your deposit remains non-refundable. Subject to availability, you may request to transfer your booking to another date within six months. The $150 date change fee and any applicable price difference will apply.

Between 7 and 14 days before your booking: Payments are non-refundable. At our discretion, the value of your booking may be transferred to another available date within six months. The $150 date change fee and any applicable price difference will apply.

Within 7 days of your booking: All payments are non-refundable and non-transferable. Date changes are not available within this period.

If a customer chooses not to proceed with an order or event for reasons outside the control of The Grazing Italians, the cancellation terms above will apply.

5. DELIVERIES & COLLECTIONS

Delivery is available for selected orders and locations and is subject to availability.

Delivery charges are calculated based on factors including location, travel distance, access requirements, delivery time and the requirements of the order.

Customers collecting an order must arrive within the agreed collection timeframe.

If you are going to be late or cannot attend at the agreed time, please contact us as soon as possible. A different collection time must be agreed with The Grazing Italians.

We cannot guarantee that staff will be available outside the agreed collection period where prior arrangements have not been made.

Orders required for a Monday collection or delivery must generally be placed by the Thursday prior and remain subject to availability.

6. PRODUCT PHOTOS, PRESENTATION & SUBSTITUTIONS

Images displayed on our website, social media pages, menus and other marketing materials are provided as a guide to the style and presentation of our products.

Our grazing boxes, platters and catering are prepared using fresh produce. Individual products, brands, colours, garnishes and presentation may vary depending on seasonal availability and supplier stock.

Where an advertised ingredient or product is unavailable, we reserve the right to substitute it with a product of similar quality and value.

These variations are a normal part of working with fresh and seasonal food and will not be considered a fault or reason for a refund.

7. FOOD ALLERGIES & DIETARY REQUIREMENTS

Customers must advise The Grazing Italians of any known allergies or dietary requirements when placing their order and before payment is made.

While reasonable care is taken when preparing orders with dietary requirements, our food is prepared and handled in an environment where common allergens may be present.

These may include gluten, wheat, dairy, eggs, nuts, peanuts, sesame and other allergens.

We therefore cannot guarantee that any product is completely free from traces of allergens or cross-contamination.

Products requested as gluten-free are prepared in a kitchen where gluten-containing products are handled and are not suitable for people with coeliac disease where complete avoidance of gluten is required.

It is the customer's responsibility to ensure guests are made aware of relevant allergen information.

Additional charges may apply for dietary substitutions, special ingredients or customised requests.

8. FOOD SAFETY & CUSTOMER RESPONSIBILITY

Once an order has been collected, delivered or handed over to the customer, responsibility for the safe storage, handling and serving of the food passes to the customer unless The Grazing Italians has been engaged to provide ongoing catering service.

Perishable food must be stored, handled and served appropriately.

Where food is displayed at an event, customers are responsible for ensuring appropriate food safety conditions are maintained after handover.

Food that has been left unrefrigerated or outside appropriate temperature controls should not be retained or consumed beyond recommended food safety periods.

The Grazing Italians cannot accept responsibility for food quality or food safety issues caused by incorrect storage, extended display periods, exposure to weather or temperature, or handling after the food has been handed over.

9. EQUIPMENT & GRAZING TABLE ITEMS

Where serving equipment, boards, platters, stands or other reusable items are supplied as part of your booking, a refundable equipment deposit may apply.

Unless otherwise agreed, equipment supplied by The Grazing Italians must be returned within four days to our Clayfield location.

Equipment must be returned in the same condition in which it was supplied, allowing for reasonable use.

The customer is responsible for the replacement cost of equipment that is lost, damaged, broken or not returned.

Where applicable, these costs may be deducted from the equipment deposit. If replacement costs exceed the deposit held, the remaining amount will be payable by the customer.

10. PEAK & SEASONAL BOOKING PERIODS

Certain dates experience significantly higher demand and require us to order additional stock and commit staffing and preparation resources in advance.

Peak periods include:

The 14 days leading up to and including Christmas Day

The 14 days either side of Easter Sunday

The two days either side of the Brisbane Riverfire Festival

Other major events or peak periods identified by The Grazing Italians at the time of booking

Availability during these periods is limited.

Bookings are only confirmed once the required payment has been received.

Unless otherwise agreed in writing, payments made for bookings falling within an identified peak period are strictly non-refundable.

11. CHANGES TO ORDERS

Requests to change guest numbers, menu selections, quantities, delivery details or other booking requirements must be made as early as possible.

Changes are subject to availability and may result in additional charges.

Once ingredients have been ordered, food preparation has commenced or staffing has been allocated, we may not be able to reduce quantities or provide a refund for items removed from the booking.

Final changes must generally be confirmed no later than 14 days before the event unless otherwise agreed.

12. FORCE MAJEURE & CIRCUMSTANCES OUTSIDE OUR CONTROL

The Grazing Italians will not be responsible for a failure or delay in providing an order or service where this is caused by circumstances reasonably outside our control.

This may include severe weather, natural disasters, road closures, accidents, power outages, supplier shortages, transport disruptions, government restrictions or other unexpected events that prevent us from safely or reasonably providing the agreed service.

Where this occurs, we will work with the customer to find a reasonable solution. Depending on the circumstances, this may include rescheduling the booking, providing an alternative product or service, or issuing a credit.

Any solution offered will take into account costs already incurred by The Grazing Italians for food, staffing, suppliers and preparation.

13. CUSTOMER INFORMATION

Customers are responsible for ensuring the information supplied to us is correct, including the event date, collection or delivery time, address, contact details, dietary requirements and order details.

Please check your invoice and booking confirmation carefully.

The Grazing Italians cannot accept responsibility for issues arising from incorrect information supplied by the customer.

14. ACCEPTANCE OF TERMS

Payment of a deposit, part payment or full payment confirms that you have read, understood and accepted these Terms & Conditions.

These Terms & Conditions apply alongside any specific requirements or conditions stated on your quote, invoice or booking confirmation.

If you have any questions regarding your booking or these Terms & Conditions, please contact The Grazing Italians before making payment.
